Members Attended

Profs. M. Osano, A. Taubin, K. Gotoh, T. Orr, Q. Chen, S. Sedukhin, H. Sagawa and Mr. K. Kokubun (General Affairs Section). Mr. Iino (General Affairs Section) attended the meeting for taking the cooperation on the publications work and Ms. Hirada also attended as a translator.

Prof. T. Watanabe did not attend the meeting because of his busy schedule.

Purpose of making the University Gazette

Prof. Chen mentioned that the purpose of making the university gazette is to provide a media for smooth cooperations among the departments, centers and administration.

In the last committee meeting, members considered that the gazette is a very important media for sharing information such as personnel affairs, the changing of person in charge, and so on. All members agreed that the gazette must be beneficial to the university. Now we are working on the gazette.

Discusstions and Suggestions on the Gazette

Profs. Taubin and Orr asked that how to collect the needed information and who will be the chief editor of the gazette for selecting the content.

Profs. Sedukhin and Chen responded to the questions that depends on the regulation of the university, Mr. Kokubun (General Affairs Section) and Chen (Office for Planning and Management) will work on the details and collect the information. All committee members have the responsibility of proof reading the draft of the gazette. The public relations and publications committee will respond to the gazette.

Profs. Sedukhin and Orr suggested that the gazette should be very attractive to all readers and better to include both useful information of the university and those information of students who did excellent jobs on different fields. Prof. Orr also asked that if we can work with the students clue. Prof. Sagawa suggested that the gazette should be controlled by the committee and to avoid extreme contents by students.

Profs. Osano suggested that the Multimedida Center has already published a attractive monthly report inside the university (in Japanese), we can take a look at that and it can serve as a reference.

Mr. Kokubun showed some examples of the gazette of other universities. Some of those have used a nickname, Prof. Taubin asked if we also plan to give a nickname to the gazette. Prof. Gotoh and Chen suggested that let us collect the nickname ideas from faculty members.

Chen also agreed to create a home page for getting some ideas of nickname from faculty members. Mr. Iino mentioned that the special budget has been applied for maintaining the WWW Server of the university and the content of the gazette will be included in the WWW Server.

The members approved the proposal of the university gazette, and mentioned that if the gazette is published in the March this year, it will be in a very busy schedule. Chen and Kokubon agreed that they will work hard on the gazette.

Committee members agreed that the committee will cooperate with Chen and Kokubun who will be in charge of this issue. Prof. Gotoh and Prof. Orr agreed that they are happy to give the topics of gazette in their center meetings and provide some information of their centers.

Explanation of the Budget for the Gazette

The members discussed a proposal for the budget for the gazette. A budget of бя535,000 will be used for the first issue of the gazette (in both Japanese and English). It has been decided to apply for the budget for the three issues of the gazette in the next fiscal year.

Profs. Osano, Orr and Sagawa considered that we can prepare materials, and it is necessary to get some professional suggestion by the printing offices.

Prof. Taubin suggested that some softwares will be beneficial to the publications. Our students would be glad to practice those software and help for preparing layouts and formats for the gazette.

Mr. Iino (administrative office) gave some explanations on the details of the budget. бя535,000 will include indispensable expenses (printing and book biding expenses), expenses for labor and services (expenses for correspondence and carriage that include postage for sending the gazette to other organizations), and commission fee (translation fee). In Japanese way, the budget can not be used to pay for labor fee to students this time. But Prof. Taubin's suggestion could be considered in the future.

The University Gazette Will be Written Laterally and Printed on A4 Paper

It is stipulated in the regulation on the publication of university gazette that the university gazette shall be written laterally and printed on B5 paper. However, considering the fact that most of administration-related documents are written on A4 paper, the regulation shall be revised and the university gazette shall be printed on A4 paper.

Finally, the members proved the revision and agreed using the new style "A4 paper" for current publications of gazette.
